How Beach Health Retreat collects, uses, shares and looks after personal information, and what you can ask us to do. If anything is unclear, please ask us.
Who we are
Beach Health Retreat is a registered business name of the trustee for the Sunshine Natural Health Trust (ABN 71 080 566 081), based in Maroochydore, Queensland. Retreats are planned and hosted by Deb Pepperdine and Ian Trew. In this policy, “we”, “us” and “our” mean Beach Health Retreat.
We aim to handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). You can contact us about privacy by email at [email protected], by phone on 0402 130 552, or by post at 70–78 Alexandra Parade, Cotton Tree QLD 4558.
Information we collect
When you use the retreat planner on this website, we collect the information you choose to give us:
- Contact details: your first name, email address, phone number if you give it, how you’d like us to reply and the best time to call.
- Who is coming: whether you’re coming alone or with one other person, and their first name if you give it.
- Retreat preferences: the kind of retreat you’re drawn to (including a customised mix or not sure yet), what you’d like from your time away, length of stay, whether you have dates or a rough time of year in mind, how you’d like to eat, apartment preference and airport transfer.
- Optional experiences: experiences you’re interested in, such as counselling, massage, Ayurveda, sauna, coastal experiences, yoga or beauty treatments, and whether you’d like to talk privately about accessibility or practical support.
- Your own words: anything you write in the planner’s note box.
If you give us someone else’s details, such as the name of the person coming with you, please let them know.
When we talk with you by phone, text or email while planning a retreat, we may also collect other information you choose to share, such as dietary needs or allergies, accessibility or support needs, and practical details for your stay.
This website does not use cookies, analytics or advertising trackers, and it does not keep your planner answers in your browser. So we can understand how people find us, it remembers for your current browser tab only the page you first visited, the website that referred you (without any search terms) and any campaign tags in the link, and includes them with an enquiry if you send one. Like any website, the service that delivers it processes technical information such as your IP address, browser type and the pages you request, so the site can be delivered and protected. The planner also includes a hidden field that helps filter out automated spam.
Health and wellbeing information
Some planner choices can tell us something about your health or wellbeing: for example, an interest in counselling, massage or bodywork, Ayurveda, meditation or breathwork, yoga, Pilates or personal training, an interest in a light cleanse or fasting, wanting support through a life change or space for your emotional wellbeing, or asking to talk about accessibility or practical support. Australian privacy law treats this kind of information as sensitive.
These choices are optional. If you select any of them, the planner asks whether you’re happy for us to use them to respond to your enquiry and help plan your retreat, and we use them only for that. If you’d rather not, leave them unticked and we can talk about them when we reply. We don’t ask for medical details through the website.
Beach Health Retreat is a wellbeing retreat, not a clinical or medical service, and we don’t need your medical history through this website. Please leave medical or other sensitive details out of the free-text boxes unless they’re relevant to your enquiry. If something about your health matters for a particular experience or for your meals, we’ll talk about it with you privately, by phone on 0402 130 552 if you prefer.
How we collect information
We collect personal information directly from you: through the retreat planner, when you email, phone or text us, and when you talk with us while planning or during your stay.
Why we collect and use it
We use personal information to:
- respond to your enquiry in the way you asked;
- understand the kind of retreat you’re looking for;
- check the availability of an apartment, hosting and any experiences you’ve asked about;
- prepare a personalised retreat plan;
- if you decide to go ahead, arrange your accommodation, meals, transfers and chosen experiences, and manage your booking and payments;
- keep in touch with you about arrangements before, during and after your stay;
- protect this website from spam and misuse; and
- meet our legal, safety and record-keeping obligations.
If you don’t give us some information
To reply to an enquiry through the website, we need your first name and an email address; add a phone number if you’d like a call. Everything else is up to you. With fewer details we may need to ask a few more questions, and our proposal may be less tailored. If you’d rather not share something through the website, you can call Deb or Ian on 0402 130 552.
Our service providers and overseas processing
This website is delivered by Cloudflare, Inc., a company based in the United States. When the planner sends an enquiry, Cloudflare relays your answers to our email inbox, and emails to [email protected] are forwarded by Cloudflare to that inbox, which is provided by Google LLC, also based in the United States. Your answers are sent as an email and are not kept in a database on this website. If the planner can’t send an enquiry, it tells you, and nothing you entered is kept.
Some service providers we use may process or store information outside Australia, including in the United States and other locations in which those providers operate. Cloudflare says it primarily stores information in the United States and the European Economic Area. Google says it maintains servers around the world and that information may be processed outside the country where you live.
How we protect information
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access or disclosure. This website uses an encrypted (HTTPS) connection; planner answers are not stored on the website; our email and records are password-protected and used only by the people who need them; and we give providers only the details they need. No website, email or storage system can be made completely secure, so please avoid sending sensitive information you don’t need to share.
How long we keep information
We keep personal information only for as long as it is reasonably needed for the purposes for which it was collected, or as required by law. When it is no longer required, we take reasonable steps to securely delete or de-identify it.
Seeing and correcting your information
You can ask to see the personal information we hold about you, and ask us to correct it if it’s inaccurate, out of date, incomplete or misleading. Contact us using the details above. We may need to confirm your identity first, and there’s no charge to make a request.
We will respond within a reasonable period. We aim to deal with access requests within 30 days where practicable. If we can’t give you access or make a correction you’ve asked for, we’ll explain why.
Privacy concerns and complaints
If you’re concerned about how we’ve handled your personal information, please contact us first, by email at [email protected] or by phone on 0402 130 552, and tell us what happened. We’ll look into it and let you know what we’ll do.
If you’re not satisfied with our response, you may be able to lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992. The OAIC generally asks people to raise a complaint with the business first and give it a reasonable opportunity to respond.
Changes to this policy
We may update this policy from time to time, for example if the way we handle personal information changes. The current version is always on this page, with the date it was last updated.
